The Ellington Community Clubhouse, located at the heart of the Community is a perfect venue for every homeowner's wedding, reception, baby shower, and/or meeting.

The Ellington Clubhouse is available only to Ellington homeowners who have paid their annual assessment.

                                                        How to reserve Clubhouse

1. Use the convenient online clubhouse calendar to see if the clubhouse is available when you need it. 

2. Make sure you're a COMPLIANT Homeowner... i.e., no outstanding dues or current violations.

3. Make your reservations at the clubhouse no later than 3 weeks before your event.

4. Determine if your event will consist of 100 persons or more, and/or occur between the hours of 10 pm and 2 am. If so, read below about the Newton County Sheriffs' security requirement.

5. Send an email to clubhouse@ellingtoncommunity.com requesting a reservation. Please specify your name, home address, phone# and the desired date. You may contact the Amenities Manager at 678-664-7422 (voice mail only).

6. Amenities Manager will reply via email or phone upon receipt of your request.

7. Fill out the  Clubhouse Reservation Application form,  Clubhouse Rental Agreement and sign the Clubhouse Policy consent form.  Currently, we're not renting the clubhouse to non-residential applicants.  Fireplace usage and portable barbecue grills are prohibited.

Makes funds (ONLY money orders) payable to:

Ellington Homeowners' Association Inc.

9. Upon receipt of your documents and deposit, your reservation will appear in the On-Line Clubhouse Calendar.

10. The clubhouse coordinator will contact you via email or phone to confirm your reservation.

11. Please make arrangements for picking up the key to the clubhouse. Rentals are from the time you specify for 8 hours or $10.00 for each additional hour.  


                                                          Payment

1. Write money for $300 payable to Ellington Homeowners Association Inc for an 8-hour rental.

2. $150 Non-Refundable Rental Fee and $150 Refundable Cleaning/Damage Deposit. Please write money as shown below.

 


3. $150 Refundable Cleaning/Damage Deposit. This fee is refunded when the clubhouse passes a cleaning and damage inspection after use. If the clubhouse is left unclean after the rental, you will lose up to $150 of your deposit. Fees will be assessed depending on the extent of the damage and uncleanliness.


4. $10 per hour fee if your rental exceeds the agreed-upon 8-hour rental time. 

                                                          Day of the Event

The Amenities Manager or a delegate of the Board will inspect the Club House facility (15 mins before the event) with the resident who signed the agreement according to a checklist. The resident will view the electronic checklist agreeing upon the current condition of the clubhouse. 

                                                          After the Event

The Amenities Manager or a person delegated by the Board will conduct the exit inspection at the Clubhouse facility with the resident who signed the clubhouse agreement. The same checklist used before the event will be used to indicate a pass implying that the clubhouse was returned in the same condition received. A fail will indicate otherwise. 

                                                          Clubhouse Cancelation

Cancelation of Clubhouse reservation must be received no later than 2 Weeks before the date of the event. Failure to cancel in due time will result in a loss of all funds submitted to the Association.

In consideration of the more than 731 families who might wish to use the clubhouse during the holidays, December reservations are limited to one per family. Also, if plans change, please cancel the reservations to free the clubhouse for others to use. 


Reservations are limited to two (2) per family within a year.


                                                           Security Services

Security will be required for the following:
1. Any event attended by 100 persons or more
2. Any event occurring between the hours of 10 pm and 2 am.        
3. Call Newton County Sheriff's office at (678) 625-1409 between the hours of 8 am-4 pm to RSVP dates & discuss rates per hour.  A paid receipt must be presented before the entrance to the Clubhouse is granted for any events that require security.


                                                             Clubhouse Clean-Up

Cleaning supplies are not furnished by the HOA. There are 3 large trash cans in the rear of the clubhouse. Please put all garbage in plastic bags before putting it into cans. The following is an outline of the cleanup tasks that need to be performed: 

Kitchen

1. Wipe all counters
2. Empty the refrigerator and wipe inside and out
3. Clean the microwave and stove
4. Mop floors
5. Clean the sink and run the garbage disposal

Entrance

1. Mop floors
2. Clean glass doors if needed
3. Wipe off furniture

Bathrooms

1. Clean mirrors
2. Wipe sinks and vanity tops
3. Clean toilet bowls, seats, and urinal
4. Mop floors

Fireplace

1.  DO NOT USE... safety hazard.  Fireplace usage and portable barbecue grills are prohibited due to insurance liability.

Trash

1. Bag all trash
2. Place trash in containers outside
3. Do not leave bags outside of the container. If containers are full, take your trash home.
